IBC KSEF

The National System of e-Invoices (KSeF) is a platform intended for issuing and receiving electronic invoices between taxpayers registered in Poland.

From the beginning of January 2022, there is a possibility for all taxpayers to issue and receive VAT invoices via The National System of e-Invoices (KSeF).

Currently the solution is voluntary – invoices still can be issued and received in its current form outside KSeF.

E-invoicing using KSeF platform will become mandatory from July 2024.

KSeF platform accepts only structured invoices i.e. invoices issued in electronic form as XML files consistent with the requirements of Ministry of Finance. The invoice must contain obligatory data but some additional data can be send as well (depending on invoice type).

IBC KSEF (Sales)

The tool allows to send sales invoices registered in SAP system (in SD and FI modules) to KSeF platform.

Main functions are:

• Filtering and searching for documents that should be sent to KSeF, already delivered to KSeF, suspended or incorrect
• Invoices validation before sending to KSeF
• Possibility to send invoices manually or automatically (in the background) to KSeF
• Downloading UPO (Official Acknowledgement of Receipt)
• Document tracking (who and when sent the invoice to KSeF)
• Invoice image display (structured XML invoice and HTML preview)
• Token-based authentication
• Automated monitoring and notifying indicated users about transfer errors

IBC KSEF (Purchase)

The tool allows to download purchase invoices from KSeF platform and based on this, create parked documents in SAP or purchase invoices in KOFAX ReadSoft Process Director AP (transaction /COCKPIT/1).

Main functions are:

• Manual or automatic downloading (in the background)
• Creation of parked documents in SAP or purchase invoices in KOFAX ReadSoft Process Director AP (/COCKPIT/1) on the basis of structured XML invoice data
• Downloaded invoice image attached to document in SAP or Kofax ReadSoft (structured XML invoice and HTML preview)
• Downloaded documents report (downloading date and time, KSeF invoice number, supplier information, downloading status information)
• Token-based authentication
• Automated monitoring and notifying indicated users about downloading errors
